What Spotlight is
Spotlight is the search feature built into macOS, iOS, and iPadOS. Instead of opening folders one by one, you type a few letters and Spotlight shows matching apps, documents, emails, messages, contacts, calendar events, and settings from across the device. Apple introduced it in 2005 with Mac OS X Tiger, and on a Mac you can open it at any time by pressing Command and the space bar together.
How it finds things quickly
Spotlight is fast because it does not search your drive from scratch each time. In the background it builds and maintains an index, a catalog of your files and their contents, including text inside documents and details such as file names and dates. When you type, it looks things up in the index rather than scanning every file, which is why results appear almost as you type.
More than file search
Spotlight does more than find files. You can type a math problem to get the answer, convert units or currencies, look up definitions, launch apps, and jump to settings without digging through menus. It also shows suggestions from the web and from apps like Maps and the App Store. On the iPhone, swiping down on the home screen opens the same search with these extra features built in.
Controlling what it searches
You can choose what Spotlight includes. In settings you can turn whole categories of results on or off, and on a Mac you can add folders or drives to a privacy list so they are never indexed or shown in results. This is useful for keeping sensitive folders out of search or reducing clutter. Turning off web suggestions also keeps more of your searches on the device itself.
Getting more from Spotlight
A few habits make Spotlight much more useful. Launch apps by typing the first letters of their names instead of hunting through the Dock or folders. Search for a phrase you remember from inside a document rather than trying to recall its file name. Press Return to open the top result instantly. If results seem incomplete after moving lots of files, the index may simply need time to catch up.
The bottom line
Spotlight is one of the quickest ways to get around a Mac, iPhone, or iPad, finding apps, files, messages, and quick answers from a single search box. It works so fast because it keeps an up-to-date index in the background, and you decide what that index covers. Learning its shortcut and a few habits can save many small moments of searching every single day.
